Hong Kong NGO AI workflow training

Put AI to work in your NGO’s everyday operations.

Connect forms, shared records, checks and report drafts into a workflow your team can understand and review. Our free practical training starts with the admin work your organisation actually does.

Label Less is a Hong Kong social enterprise whose core work is data annotation and human review. We aim to help NGOs make administrative work more manageable with AI, while keeping people responsible for decisions.

Workshop scope, format and dates are discussed individually. Examples here are illustrative, not completed client cases; sample records are synthetic.

Try a small attendance-report example.

Twelve synthetic rows, one duplicate and one missing status. Follow the checks, distinguish attendance instances from unique attendees, and download the CSV and bilingual review checklist. No sign-up or upload needed.

Possible workflows

Start with the admin task that keeps coming back.

A workshop can map existing forms, spreadsheets and approval steps, then explore where AI or a small internal tool may help. The goal is a workflow your team can inspect and adjust, not a generic introduction to prompting.

Forms, activities and attendance

Bring intake forms, activity logs and attendance records into a reviewable process. Identify missing fields, reconcile totals and route exceptions to a staff member.

Staff confirm changes before records are updated or shared.

Grant and funding reports

Map project records and activity forms to a funder’s reporting template. An AI-assisted step could flag missing fields or inconsistent figures and draft a report section with source references.

Staff verify evidence, figures and wording before submission.

Receipts and expense checks

With synthetic or approved sample documents, explore extracting dates and amounts, comparing them with an expense record, and flagging possible duplicates or missing items.

Staff confirm categories, supporting documents and approvals; automation does not approve expenses.

Internal tools and procedures

Explore a simple internal request tracker, task list or search over approved procedures. Decide which roles may view or edit information and where an approval is required.

Examples are planning ideas, not a claim that a working demo or production system exists.

Practical workshop

Build around your real process.

The training is free. We agree scope, format and dates individually, based on the task and the team’s needs. A workshop explores options; it does not promise a production implementation.

Choose one recurring task

Describe the workflow at a high level and where it slows down or creates repeat work.

Map records and decisions

List the inputs, source records, hand-offs, approvals and exceptions the team must handle.

Explore a synthetic example

Try a small illustrative workflow, inspect its limits and test what happens when information is missing or unclear.

Agree next steps

Decide what staff should own, what needs further review and whether any separate implementation is worth discussing.

Third-party subscriptions, paid features and any production rollout are separate from the free training and discussed beforehand. Tool availability and suitability vary.

Data handling and human review

Plan data handling before connecting tools.

Strong data security is part of designing a useful workflow. We can begin with synthetic examples and use only the information a task needs.

  • Before using real records, review processing locations, retention and training terms, permissions and your organisation’s requirements.
  • Limit access to people and tools that need it. Keep source references so staff can trace a draft back to its records.
  • Require staff review before reports are submitted, expenses approved or records shared.
  • Do not put personal or confidential service-user information into an AI tool unless your organisation has approved that use and its data handling.

A workshop or prototype is not a security or compliance certification. No workflow can be described as zero risk.

Choosing tools

Pick a tool after checking the task and its terms.

Examples for discussion may include Cursor for building internal tools, Grok Bot for scoped cross-app tasks, or Coze with Feishu where an organisation already uses that environment. These are examples only. Check availability, cost, permissions, processing and retention terms, and suitability before choosing a path. Tools and features may not be available or free to every Hong Kong user, and may not be suitable for sensitive data.

Questions

Before getting in touch

Is the training free?

The practical training itself is free. Third-party subscriptions, paid features and production implementation are separate costs and will be discussed beforehand.

Do you have a live demo?

You can try our synthetic attendance-report worked example, with downloadable records and review steps. It is a teaching example, not a deployed AI integration or a completed NGO project.

What should I share in an enquiry?

Just a high-level description of the task, where it gets stuck and which tools your team already uses. Please do not send personal or confidential service-user records.

When can we meet?

Scope, workshop format and dates are arranged individually.

Next step

Which admin task keeps coming back?

Tell us the process, where it gets stuck and the tools you already use. A high-level description is enough to start.
